Client Portal

Give the people whose shows you produce a branded portal to view finished episodes, leave comments, submit recordings and connect their own channels.

The Client Portal in Convia Pro is a branded space for the people whose podcasts you produce. It is built for agencies and producers: your client logs in to see the episodes you have marked ready, leave comments, send you new recordings and, if you allow it, connect their own social accounts. Each client belongs to one workspace and sees only that workspace's portal.

The Client Portal is different from the Guest Portal, which is for guests who appear on your episodes.

What clients can do

  • See the episodes you share, each with its summary, distribution details, posts and media.
  • Leave comments on those episodes. Your team sees them in the workspace.
  • Submit a new recording with its details, which lands in your intake queue.
  • Connect their own social channels from a Your Channels page, when you turn that on.

Clients do not see campaigns, drafts you have not shared, or anything outside their workspace's portal.

Before you start

  • The Client Portal is a plan feature. If your plan does not include it, Settings → Client Portal says it is not available on your current plan. See Plans & billing.
  • Only workspace owners and managers can invite and manage clients.

Invite a client

  1. Go to Settings → Client Portal.
  2. Click Invite Client.
  3. Enter the client's Name and Email, and optionally their Company.
  4. Send the invitation. The client gets an email with a link to the portal, and appears in your list as Invited.

When the client opens the link, they set a password for their account (the email address is fixed to the one you invited) and confirm their email. They then sign in with their email and password whenever they like, and their status changes to Active. The signup page carries your show's logo.

If the invitation email does not arrive, click Resend to send a fresh link. A workspace cannot invite the same email address twice.

Share an episode with clients

Clients see only the episodes you share.

  1. Open the episode's Overview page.
  2. In the Client Portal card, turn on Share with client.
  3. Optionally tick Notify N clients via email when I share this episode before you turn it on.
  4. You should see Episode shared. The episode now appears in the portal as Ready to view.

Turn Share with client off to hide the episode again. The card appears once the workspace has at least one client with portal access. An episode or post you move to the Trash disappears from the portal too.

What clients see

The portal header shows your show's logo and name. When an agency produces the show, it also shows Produced by and the agency's name.

The Episodes list shows every shared episode as Ready to view, and the client's own submissions as In Production until you share them. Opening an episode shows four tabs and a comments panel:

Episode and article dates show in your workspace's time zone, so a client elsewhere sees the same day you picked.

Clients submit new recordings

A client can send you a new episode from the portal with Submit New Episode. They add a title, description, guest names, key topics, the recording date and a video file. Uploads count toward your workspace's storage like any other upload.

The submission arrives as a draft episode in an Intake tab on your Episodes page, shown once the workspace has a client with portal access. The client sees it as In Production until you share it.

Let clients connect their own channels

By default, clients cannot connect social accounts. To let them:

  1. Go to Settings → Client Portal.
  2. Turn on Let clients connect their own social channels.

Clients then get a Your Channels page in their portal, where they sign in to each platform themselves, so you never see their passwords. They see every channel on the workspace, so nothing looks missing, but can disconnect or reconnect only the channels they connected. Bluesky is not offered there, because it connects with an app password rather than a sign-in.

Remove a client's access

In Settings → Client Portal, click Remove Access next to the client:

  • For an Active client, they lose access to the portal for this workspace immediately. Their login is not deleted, only their access to the workspace.
  • For an Invited client, the invitation is deleted. You can invite them again at any time.
