Get the most from a new episode

Take a freshly recorded episode from upload to a reviewed, scheduled launch with clips, Magic Repurpose, approvals and a release-day push.

You just recorded an episode and want it to reach as many people as possible without writing every post by hand. This guide is for hosts and producers using Convia Pro. It sets out the order that gets the most from one recording: media first, clips next, then a Magic Repurpose run, then review, scheduling and a release-day push.

Before you start

  • Your Brand Brain is set up. Every AI step reads your Brand Characteristics, Audience Profile and Content Rules under Brand Brain → Voice & Tone. See Brand Brain.
  • Your social accounts are connected on Social Channels (under Show in the launcher). You can draft against an Offline account, but you cannot schedule to it. See Connect social accounts.
  • You have AI credits. A full Magic Repurpose run on a new episode is roughly 100 to 150 credits, and the pre-flight check shows the exact cost before anything runs. See AI credits.
  • Magic Campaign is on your plan, if you want Magic Repurpose to prepare the social campaign. Without it, the campaign switch shows an Add-on badge. See Plans and billing.

Stage 1: Create the episode and add the final edit

Magic Repurpose needs the episode's final edit. It transcribes the final edit, and every text step after that (chapters, insights, titles, descriptions, posts) is written from the transcript. Get the media in first.

  1. Go to My Content → Episodes and click New Episode.
  2. Give the episode its title and set its publish date if you know it. Magic Repurpose plans the campaign around that date.
  3. On the Overview page, add the guests who appear in the episode, so promotion posts can name them.
  4. Open the Recording page, choose Final edit and upload the finished video. If you edit in Descript, start from Original recording and bring the edit back with Import from Descript on Final edit.

The episode now has a final edit, which is the one thing Magic Repurpose cannot start without. For more on the episode pages, see Episodes and clips.

Stage 2: Make clips before you repurpose

Clips are optional for Magic Repurpose, but make them first. A run transcribes the clips that already exist, and video-only platforms such as YouTube and TikTok need a clip to post. If you pick those platforms for an episode with no clips, Convia warns you during setup, and those campaign posts are held as needing an asset.

  1. Open the episode's Clips page and open the Add clips menu.
  2. Choose how to make them: Upload video files (or drop files anywhere on the clip list), Add a clip with details, Create clips with OpusClip, Import clips from Descript or Create clips with Descript.
  3. For OpusClip clips, review each one, reject the ones you do not want or open them with Edit in OpusClip, then import the rest.

The OpusClip and Descript options are shown to owners and managers, and need your own API key or the Managed Clipping add-on. See Clip imports.

Stage 3: Run Magic Repurpose

Magic Repurpose turns the episode into a content package in one run. Run it at least two days before the release date: the campaign it prepares runs from two days before release to three days after, and Convia cannot place posts at times that have already passed.

  1. Click Magic Repurpose in the episode header. If a checklist of Recording, Final edit and Clips opens, finish the steps it links to. Repurpose now becomes available once the final edit is in.
  2. On the pre-flight check, leave Skip steps where content already exists ticked so you only pay for what is missing. Check Steps to Process and Estimated Cost, then click Continue to Setup.
  3. Check the Publish Date. It starts on the episode's release date, and the campaign's posts are planned around the date shown.
  4. If transcription will run, set Expected Speaker Count.
  5. Turn on Prepare a social campaign? Then choose a Campaign Type (it defaults to Promote a Specific Idea; pick Guest/Partnership Spotlight for a guest-led episode), your Social Platforms, and any Newsletter Articles (Optional).
  6. Review the Workflow Summary and Total Cost, and start the run.

You can close the tab or leave the page, and the run keeps going. When it finishes, a summary links to everything it made. See Magic Repurpose.

Stage 4: Review what Magic Repurpose made

Work through the episode's pages in this order, editing as you go:

Then check the campaign for gaps. A campaign page shows a banner when posts still need a clip, and each held post carries a Held · needs asset chip. Open a held post to attach a clip from your library or generate its visual in the composer.

On YouTube and Facebook posts, fill in the Published title. Convia's internal names are descriptive labels for your team, and if the published title is blank, the internal name is used as the public title.

Stage 5: Approve and schedule the campaign

Each draft already carries a planned date. Open each post, make your edits, and schedule it. If your workspace requires approval, the post waits in the Approval Queue until a manager approves it, and an approved post with a date moves to Scheduled on its own.

  • A post dated before the episode's release carries a Before release badge, and approving it asks you to confirm. That is expected for teasers.
  • On the campaign page, drag a post on its Calendar to move it. Times show in your workspace's time zone.

Stage 6: Schedule the rest of your clips

The campaign uses some of your clips. To post the rest, where your plan includes bulk scheduling, click Schedule clips on the episode's Social Content page, or select clips on the Clips page and choose Schedule selected. In Bulk schedule clips, Simple spreads posts over a window, and Advanced lets you pick posting days per channel. Generate writes one caption per clip per platform for the credits shown. Launch Campaign then sends every post for approval, or Save as Draft keeps them as drafts.

For YouTube Shorts, a reliable routine is: Schedule clips, select the Shorts and choose Finish on YouTube, set each Short's Related video through its Studio link, then click Space them out. See YouTube publishing.

Stage 7: Tell your guests and watch the results

When the episode is ready to go out, open Notify Guests in the episode header and choose Notify episode is ready. See Promote an episode with your guest.

After release, the episode's Analytics page rolls up every published post across platforms, and each post shows how it compares with your usual. See Analytics.

What a good result looks like

  • The transcript, insights, chapter markers, YouTube title options and descriptions are filled in and edited.
  • The campaign covers lead-up, release day and follow-up, with no held posts left unresolved.
  • Every campaign post is Scheduled or Pending Approval, and none is still a draft by accident.
  • The remaining clips are scheduled and spaced out, and your guests have been notified.

Common pitfalls

  • Repurposing before clips exist. Video posts come back held, waiting for a clip. Make clips in Stage 2 first.
  • Running Magic Repurpose late. The closer to release you run it, the less room there is for lead-up teasers.
  • Not checking the Publish Date. The campaign is planned around the date on screen, so a wrong date shifts every post.
  • Expecting a re-run to rewrite everything. With Skip steps where content already exists ticked, only missing items are made. To redo one item, delete it or regenerate it from its own page first.
  • Starting a second run while one is going. Convia allows one Magic Repurpose run per episode at a time.
