Quick answers about signing up, trials, workspaces and roles, creating and scheduling content, campaigns, AI credits, approvals and integrations.

Short answers to the questions Convia Pro customers ask most. Each answer starts with the short version and links to the page with the full detail. If you're fixing something that isn't working, see Troubleshooting.

Getting started

Do I need a credit card to sign up?

No. You can create your account and run guided setup, which comes with a starter pool of 75 AI credits, without entering a card. After guided setup you choose a plan. If a free plan is offered you can pick it with no card, and paid plans start with a free trial that, where available, also needs no card. Until you pick a plan, publishing and AI features stay paused, but nothing you've created is lost. See Quickstart.

I have a signup code. Where do I enter it?

Enter it in the plan picker just before checkout, under Have a signup code?. A code gives you either extra free trial days or a discount, and the field tells you straight away whether it's valid. If your code came in a signup link, it's applied for you and the sign-up page shows it. See Plans, trials & billing.

Can I use Convia without a podcast?

Yes. Guided setup can learn your voice from a short form or from links to things you've written, and campaigns don't need an episode: you can plan one from your whole library, from a set of topics, or from what you want to say. Ideas and scripts work without an episode too. See Campaigns and Ideas & scripts.

Which platforms can Convia publish to?

Eight: LinkedIn (personal profiles, and Company Pages where your plan includes them), X (Twitter), YouTube, TikTok, Instagram, Threads, Facebook Pages and Bluesky. Which ones you can connect, and how many accounts, depends on your plan. See Connect your social accounts.

What file formats can I upload?

Video in MP4, MOV or WebM; audio in MP3, WAV or M4A; images in JPG, PNG, GIF or WebP. Size limits depend on your plan, and Convia tells you when you pick a file that's too large or too long. Some platforms are stricter about what they accept; see Publishing to each platform.

How long does transcription take?

Usually a few minutes: typically 1 to 3 minutes for a 30-minute episode. The page shows progress, moving from "Extracting audio" to "Transcribing", and updates on its own when the transcript is ready.

Where do I find out what changed in Convia?

Open the launcher at the bottom left and choose What's New under Support. It lists recent releases by the date they shipped.

Plans and trials

How long is the free trial?

14 days, unless a signup code gives you more. A days-remaining badge in the header keeps the trial visible, and turns red when 3 or fewer days remain. See Plans, trials & billing.

What happens when my trial ends?

If you've added a card, your plan continues. If a trial ends without a card, your workspace pauses instead of charging you, and you get an email. Nothing is deleted. Add a card with Update Payment Method, then choose I've added a card, restart my subscription; the price is shown above that button first. To pick another plan instead, choose Cancel this subscription and choose another plan.

Can I cancel or change plans during my trial?

Yes. Canceling during a free trial runs to the end of the trial at no charge. Changing plans during a trial doesn't end the trial or charge you early: you pay nothing today, and your first charge at the end of the trial is at the new plan's price.

Where can I see prices?

On the pricing page at https://conviapro.com/pricing. The plan picker inside Convia shows monthly and yearly prices too, with the annual amount you'll be billed for yearly plans.

Workspaces and teams

Can I manage more than one show?

Yes, each show, brand or client lives in its own workspace, and you switch between them from your show's name at the top of the page. You can't create a new workspace yourself; the switcher says Need another show? Contact your workspace admin. See Workspaces, teams & roles.

How do I invite teammates?

Go to Settings → Members, click Invite Member, enter their email and pick their role. The Members page shows your plan's seat limit, and the Invite Member button is disabled with an explanation once you reach it.

What can each role do?

Owners and managers can do everything, including settings, members, billing, approvals and publishing directly. Contributors create and edit content and submit it for approval when the workspace requires it. Viewers see the workspace and its content and change nothing. See Workspaces, teams & roles.

Why do I see "View-only access"?

Because your role is Viewer. You can browse everything in the workspace, including episodes, posts and analytics, but making changes needs a Contributor or Manager role, which a workspace manager can give you.

Where do I see comments where a teammate mentioned me?

On your My Mentions page, which opens from a mention notification in the bell menu. It lists every comment that @-mentions you across posts, articles, episodes and scripts, grouped by item, with a filter for unresolved mentions and a one-click resolve. Tagging accounts in a published post is a different feature; see Mentions & tagging.

Creating and scheduling content

What's the difference between Magic Repurpose and repurposing by hand?

Magic Repurpose is one workflow that generates the full set for an episode: transcript, insights, chapter markers, titles, descriptions and a promotional campaign. It's best for a new episode. Repurposing by hand lets you pick exactly what to generate, which is better when you want control or already have some content. See Magic Repurpose and Turn one piece of content into many.

Can I edit what the AI writes?

Yes. Everything the AI writes arrives as a draft, or in the approval queue, and you can edit it freely before it's scheduled or published.

Will Convia publish anything without me?

Nothing the AI writes publishes on its own. Posts publish automatically only once a person schedules them or publishes them. Autopilot posts always land as Pending Approval, even if your workspace doesn't require approval. A trend automation sends its drafts to the approval queue by default, or leaves them as drafts if you set it to follow the workspace default. AI assistants connected through MCP create drafts only. How do I schedule a post for a specific time?

Open the post, set the Schedule Date with the date and time you want, and click Schedule. The post is marked Scheduled, or goes to the approval queue first if your workspace requires approval. If you pick a date without a time, Convia uses your default posting time for that platform and weekday, then the platform's generally best hour, then the start of your posting window. You can't schedule a time that has already passed. See Calendar & scheduling.

What time zone does Convia use?

Your workspace's time zone, which you set in Settings → Publishing. Every time in Convia shows in that time zone with a badge such as EDT, whatever time zone your computer is in, and episode and article dates read as the same day for everyone on your team, your guests and your clients.

Can Convia edit a post after it's published?

No. Convia doesn't change a post once it's live; edit it on the platform. On YouTube, change a published video's title and description in YouTube Studio, and Convia picks up the change on its next sync.

Can I read or reply to comments from Convia?

No. Convia has no inbox and can't read or reply to comments or messages. Where your plan includes first comments, it can post a first comment on your own post when you publish, and it counts comments in your analytics.

Does deleting a YouTube post in Convia remove the video from YouTube?

No. The video stays on YouTube, and Convia's message gives you the link to remove it yourself.

Campaigns

Which campaign type should I choose?

  • Promote a Specific Idea reinforces a concept through repetition. It suggests 21 days, posting weekly.
  • Capitalize on a Trend moves quickly on something timely. It suggests 7 days, posting daily.
  • Seasonal/Recurring Theme builds up to a date, such as a holiday, conference or launch. It suggests 14 days, posting twice a week.
  • Guest/Partnership Spotlight promotes a guest or partner. It suggests 10 days, posting three times a week.

You can change the dates and frequency for any type.

Can I add posts I've already written to a campaign?

Yes. On the campaign's page, click Link Existing to add posts you've already created.

Do I need an episode to run a campaign?

No. A campaign can be built around an episode, from your whole library, from a set of topics, or from what you want to say. If your library is empty, Convia still plans the campaign and tells you what to make. See Plan a promotional campaign.

AI and credits

How do I see my AI credit balance?

Open your avatar menu at the top right: its Usage section shows your AI credits and storage. Owners and managers also see the full balance on Billing, including signup grants, onboarding bonuses and refunds, and a banner warns you when credits run low. See AI & credits.

What happens when I run out of credits?

AI features stop until your monthly credits refresh or you buy more with Top up credits. Convia opens a credits dialog showing what you need and what you have. You can still edit existing content, create content by hand, and schedule and publish.

Why does Magic Repurpose cost more than other features?

Because one run does several AI jobs: transcription, insights, chapter markers, titles, descriptions and a campaign. A full run on a new episode typically costs 100 to 150 credits. Leave Skip steps where content already exists ticked to pay only for what's missing.

Can I undo an AI generation?

Not directly. AI content arrives as drafts, so delete what you don't want, and articles keep a version history you can restore from. Credits spent on a generation that completed aren't refunded. If a thumbnail fails to generate, its credits are returned.

Do my own AI accounts use Convia credits?

No. OpusClip clips, Descript edits, ElevenLabs voiceovers and HeyGen avatars run on your own provider account and are billed by that provider. See Connect your AI accounts.

Approvals

How does the approval queue work?

A manager turns on Require approval for social posts in Settings → Publishing. From then on, social posts must be approved before they schedule or publish. They appear in the Approval Queue (Approvals at the bottom of the sidebar), where managers can Approve or Return them. Anyone on the team can flag a post with Flag / Report problem in the post's More actions menu. An approved post that already has a date moves to Scheduled automatically. Articles go through review too, but approval never blocks them from publishing. See Approval & review.

I turned approval on after posts were already scheduled. What happens to them?

They show up in a Needs Review section. For each one, choose Confirm to keep it scheduled as it is, or Review to send it through the approval queue.

Can I reschedule posts on the calendar when approval is on?

Yes. Drag a draft or an approved post to a new date without changing its approval status. Published posts stay where they are, and no post can be dropped on a time that has already passed.

Integrations and devices

Can I connect Claude or another AI assistant?

Yes, on plans that include MCP Connections. Set it up under Integrations → MCP Connections (open Integrations from the launcher at the bottom left, under Workspace). A connected assistant can search your content, create posts as drafts, update posts, and unschedule, archive or delete posts with a stated reason, but it never publishes anything. Are webhooks available?

Not right now. Outbound webhooks are paused while they're reworked, so no new webhooks can be set up. Existing webhook settings are kept.

Is there a mobile app?

Convia is built for a desktop browser. A mobile view for approving posts, capturing ideas and creating posts is switched on for some workspaces. Others see Mobile is coming soon on a phone and are asked to use a desktop browser.
