Import your back catalog

Pull your existing podcast episodes in from your RSS feed, keep the feed in sync daily, and import past YouTube videos for analytics.

If you already publish a show, you don't have to recreate it by hand. Convia Pro can import your existing podcast episodes from your RSS feed, keep that feed in sync, and bring in your past YouTube videos so their performance shows up in Convia. Imported episodes are ready to repurpose straight away.

Who can import

  • During guided setup, every new workspace can import its back catalog in the first step, Let's get to know you. See Quickstart.
  • After onboarding, the RSS Import and YouTube Import pages are available on plans that include historical import. On other plans they say content import isn't on your plan. See Plans & billing.
  • Only workspace owners and managers can change the feed URL or switch the daily sync on and off.

Import episodes from your RSS feed

RSS import works with any podcast host that publishes a public RSS feed, such as Anchor, Buzzsprout, Libsyn or RSS.com.

Add and test your feed

  1. Open the launcher and go to Integrations → RSS Feed (under Workspace).
  2. Paste your show's feed into RSS feed URL and click Save.
  3. Click Test feed. Convia confirms the feed is valid and shows the show title and how many episodes it found.

Run the import

  1. On the RSS Feed page, under Import your episodes, click Go to Content Import. This opens the RSS Import page.
  2. Click Import shows from RSS feed. The status badge reads Importing… while it runs.
  3. When it finishes, the badge reads Completed and Convia shows how many episodes it imported, with a link to View episodes.

If you import the same feed again, Convia asks you to confirm with Import again. Episodes you already have are matched rather than duplicated.

Importing an episode does not publish or post anything. Nothing goes out until you create content from it and schedule it.

The onboarding import also fills in your show's name, description, website and logo from the feed, but only where those fields are empty. It never overwrites what you entered. An import from the RSS Import page brings in episodes only. Hosts are not created by the import; onboarding offers a separate step to review the hosts it detects in your feed.

Keep your feed in sync

The import is a one-off unless you switch on the daily sync.

  1. Go to Integrations → RSS Feed. (Onboarding also offers the sync after a successful import.)
  2. Under Keep this feed in sync, switch on Automatic sync.
  3. Convia checks the feed once a day and adds new episodes on its own. The card shows Last synced with the time of the last run.

Click Sync now to check right away. If you press it again within a few minutes, Convia says Synced recently and tells you when you can try again.

Sync rule What it means for you
Episodes and details only New episodes arrive without audio or video files
Existing episodes are left alone Sync never changes an episode you already have, so your edits are kept
Matched, not duplicated An episode you already have, including one you created yourself, is matched when its season and episode numbers line up
Deleted stays deleted Episodes you deleted, including ones you permanently delete from the Trash, are never imported again
Safety stop If one daily run finds more than 10 episodes it doesn't recognize, it adds none of them and shows why on the page
Repeated failures If the feed can't be read run after run, the daily sync switches itself off and the page shows the error. Fix the URL and switch it back on

Import videos from your YouTube channel

YouTube import brings a connected channel's past videos into Convia for analytics, and lets you link each one to an episode or clip.

Start a YouTube import

  1. Connect your channel under Social Channels. See Connect social accounts.
  2. Open the YouTube Import page directly. It has no entry in the menu. With one channel connected, it opens that channel straight away; otherwise pick a channel.
  3. Click Import historical content.
  4. The import runs in the background. You can leave the page; Convia sends a notification in the workspace when it finishes.

How far back the import reaches depends on your plan. When it starts, the message says how many days back it is importing, or that it is importing your full channel history. A full-history import reaches back at most five years.

Review imported videos

Imported videos wait for your decision on the Pending Action tab. Other tabs show Imported, Dismissed and All videos. For each video you can:

  • Accept suggested match: import the video and link it to the episode or clip Convia matched, shown with a match percentage.
  • View matches: compare up to three suggested matches.
  • Import without link: import the video on its own.
  • Link manually: pick the episode or clip yourself.
  • Dismiss: skip the video.

Sort by published date or match percentage. Select matches above threshold selects every strong match on the current page. The All tab adds visibility and state filters, and Live VODs only narrows the list to past live streams.

What an imported video becomes

  • A post in Convia. Its status follows YouTube: a public or unlisted video with a publish date is Published, a video set to go public later is Scheduled, and anything else is a Draft.
  • Tracked and on the calendar. Published imports appear on the calendar on their publish date and are included in analytics. Linked videos count toward their episode's analytics.
  • No duplicates. Videos Convia already published for you are recognized and not imported twice.
  • Blank fields filled, nothing overwritten. Linking fills only empty episode fields: publish date, video link, and status (set to published when the video is already out). It never changes the episode's title, description, thumbnail or guests.

Run the YouTube import again

Click Import historical content again and choose Run again to pick up new videos and refresh existing entries. Your earlier decisions are kept, so dismissed videos stay dismissed.

Change an imported video's title, description or publish time in YouTube Studio, not in Convia. Deleting an imported post in Convia leaves the video on YouTube.
